Within the planning of an event, production is an essential aspect.

The production of the event encompasses all the management ahead of the event, with the aim of preparing all the resources need to execute it. It covers the logistics part of the event from the smallest details to most important.

If you want your event to be a success it is important to establish the specific needs from the outset and calculate and anticipate the costs.

 

There are three phases to the organisation of the eventpre-production, production of the event and post-event.

Pre-production

Once we have defined the objectives and types of event we're going to organise, we should analyse and detect the needs that may arise so that no detail is missing on the day of the event. It's important to establish a list of materials, services and products necessary and start hiring everything that's required. Visit the venue and take a note of everything you’ll need on the day of the event. For example, infrastructure, assembly and disassembly, security, cleaning, sound and lighting, accommodation, permits, communication and a long list of services required for the same event. We advise you to include everything you need in your total budget for the event, and it will make follow up easier.

Production

After analysing the needs for the event, the next step is to coordinate the technical and human team who will work on the organisation of the event. We should remember that the production doesn’t start and end on the same day but starts once the needs have been detected and ends after the disassembly of the space.

This phase includes the designs, hiring of furniture, technical resources, hosting staff and a transport and assembly company; production of signage, posters and merchandising along with many other needs.

Once everything is ready, it's assembly time! To make sure time doesn’t run away from us, it’s important start a few days before the event.

At Nice by Nina we recommend that you carry out several tests with the technical team to detect any possible errors and make sure there’s no race against time.

Post-event

Once the event is over, our work is not done. It’s time to repeat all the same tasks in reverse order with disassembly of the equipment and materials used. We also have to complete all the pending administration issues: payments, final reports, etc.
